SoftElephant was contacted by a financial services company that ran an educational membership service for its clients. Originally they started the project thinking they would only have a 100 members, but their project rocketed to over 3000 members. Normally this would be a great thing for any business, but this company was not ready for the growth and needed a solution NOW to help address their growing pains.
When SoftElephant began the consulting process the customer was managing everything in a single Excel spreadsheet that was being share between 5 employees. The file would constantly become outdated with incorrect contact and billing information. Billing was crucial to the growth of the company as they relied on membership renewals to finance the organization. Every minute they waited, they lost money.
The customer had three major issues that needed to be addressed as soon as possible.
SoftElephant created a web based application that consolidated the information into a single location that could be accessed by multiple users. The membership signup process was streamlined to eliminate the redundant data entry and to assign a unique membership identification number.
To minimize the stress caused by migrating the data from multiple files to the web based application, we created an automated cosolidation process. The system would take multiple copies of Excel spreadsheet and accept all records without any conflicts. The majority of conflicts were automatically resolved to leave a handful of records that the staff would have to address. This resulted in all the members being inserted into the system withing 2 hours while the remaining members where added by the staff within 2 weeks.
The web based system relieved the staff of the daily stress in dealing with outdated and inaccurate information. It freed up their time and increased their productivity by allowing them to do real work instead of revisiting the same old problem.

To assist in the collection of renewals the consolidation of membership records allowed the company to focus on collect past due and upcoming membership renewal fees. The system assisted this process by creating postal letters for the upcoming renewals, the due, and past due accounts.
Notifications about pending membership expiry allow the members to pay before expiry and placed the company in the envious position of being ahead of their account receivable instead of constanty chasing them.
To further enhance the function of the business the system enabled email notifications for corporate broadcasts as well as automatic mail merge operations for postal messages. This process save staff significant effort of manually generating letters and baby sitting email applications. They could now generate corporate messages, allow management to review, and automatically release upon approval.
